  • Jane App: When you click to book an appointment, pay an invoice, or fill out digital clinical intake forms, you are directed to our secure Jane portal (muisephysiotherapy.janeapp.com). Jane App utilizes bank-grade encryption to protect your medical history, physical assessment notes, treatment charts, contact details, and secure payment processing. All Canadian patient data managed within Jane App is hosted on secure servers located regionally within Canada.

Sharing & Disclosing Your Information

We will never sell, rent, lease, or trade your personal information to anyone for marketing purposes. Your data is only shared under strict clinical or statutory conditions:

  • Direct Billing: If we are direct-billing your extended health insurance provider (e.g., Medavie Blue Cross, Sun Life, etc.) on your behalf, we share the specific billing codes and treatment criteria your insurer strictly requires to validate and process your claim.

  • Coordinated Care: If a clinical situation requires collaborating with your family doctor, a specialist, or an advanced medical imaging team, we will only share records with your explicit, informed consent.

  • As Required by Law: In rare situations where documentation is legally mandated by provincial or federal authorities, or in compliance with statutory professional requirements.

Email Communications AND Marketing (CASL)

In compliance with Canada’s Anti-Spam Legislation (CASL), we are committed to keeping your email address confidential. We do not sell or lease subscription lists to third parties.

  • We will never send you commercial marketing emails or clinic newsletters without your express or implied consent. You can instantly opt out of marketing updates at any time using the “Unsubscribe” link at the bottom of our emails.

  • Administrative Messages: Crucial transactional emails sent via Jane App, such as automated appointment confirmations, text reminders, and digital payment receipts, are considered essential to managing your physical care and will continue to be sent to ensure your treatment runs smoothly.

How We Protect Your Information & Data Security

We employ physical, technological, and administrative safeguards to protect your personal and health information against unauthorized access, loss, alteration, or theft. This includes secure internet protocols, encrypted digital charting, and strict internal access permissions.

Because standard email is not a completely secure form of communication, we ask that you do not send deeply sensitive personal medical details to us via standard open email. Doing so is at your own risk.

Event of a Data Breach

In the highly unlikely event that client data is lost, stolen, or potentially compromised, our policy is to respond immediately. In strict accordance with the PEI Health Information Act, we will notify all affected individuals and the Office of the Information and Privacy Commissioner of Prince Edward Island at the first reasonable opportunity to outline remediation steps, containment strategies, and preventative patches.

Data Retention

We hold onto your clinical files and medical records in accordance with the professional regulations and strict retention timelines set by the College of Physiotherapists of Prince Edward Island and provincial health privacy laws. Once records surpass their legal retention timeline, they are permanently and securely destroyed.

Your Rights and Control

Under Canadian privacy laws, your personal and health information belongs entirely to you. You must be at least the age of majority in Prince Edward Island (19 years of age) or have the authorized supervision of a parent or guardian to manage these rights. Upon verifying your identity, you have the right to:

  • Request a clear copy of the clinical charts and medical records we hold about you.

  • Request an update or correction to any outdated, inaccurate, or incomplete contact, medical, or billing information.

  • Withdraw your consent to our use or processing of your data at any time (subject to our overriding statutory requirements to maintain historical medical charts).

  • File a query or formal complaint with the Prince Edward Island Information and Privacy Commissioner if you feel your data rights have been mismanaged.
